How to book a course - online or in person

As a fully bonded and licenced tour operator, our booking process is online, secured, and all monies are held in trust until you return home after your holiday. It's worth checking which other operators offer this! If you'd prefer to book in person, book in to visit us at our Windermere office in the Lake District, and we'll talk you through your plans and you can even book on the spot to receive your trip dossier immediately.

Complete a secure online booking form via our online form that is fully SSL encrypted, for your security
We send immediate e-documentation straight away, with invoice, course specific kit lists, and information booklet
All our scheduled non minumum numbers** courses are guaranteed to run as soon as you book*, so you are sure the trip will run
A £250 deposit is paid upon booking, with the balance not owed until 56 days before the trip. If < £250, balance is paid on booking.

Well, that was easy. We check your booking form, and contact you to see if you have any queries or need any further trip advice.
Note*: spaces on courses without minimum numbers are guaranteed from the moment of booking, subject to this being over 8 weeks (56 days) before a trip departure. If you are looking to book a trip within this timescale, please contact us first to confirm availability, before completing a booking form.

Minimum numbers**: if booking within 8 weeks the numbers of availability showing may not just be a function of the remaining spaces on your chosen trip, based on guiding ratios at a maximum, but of available spaces due to logistical factors such as shared accommodation with other courses. On any trip where there are minimum numbers, should the minimum number required not be achieved, we will offer you one or more of the following choices; a) pay a supplement, b) transfer to an alternative date that is guaranteed, c) adapted itinerary to match the budget paid such as reduction of the inclusions such as the number of days guiding or accommodation included, d) refund. In this exceptionally rare occurance, this offer and decision is made 14 days before a trip. Note that until minimum advertised numbers are achieved, the only confirmation you will receive is that you have booked your trip, not that it is guaranteed to go ahead, and any travel or associated arrangements should be transferable or refundable.

Live spaces ***: within 8 weeks do not believe the live spaces as representative of numbers on a course, as on this last minute timescale we have to adapt to close spaces to avoid unecessary costs. It is imperative that you contact us before booking when considering a trip less than 8 weeks away.
Final checks before you book...

Ensure that you meet the pre-requisite requiements for the trip. If you don't, you will fail, or be removed from the trip. If you are in any doubt about this, please e-mail us for advice, so you have it in writing.

We don't accept anyone on our trips who is raising money for charity. It ruins the group dynamic, puts the individual under too much pressure, and has a negative impact on mountain safety. Anyone discovered raising money for charity, on our trips, will be removed at that point and will be inelligible for any refund.

Once you've submitted your form online, and paid via the secure payment link, you will receive two e-mails;
i) Payment receipt for the balance or £250 deposit, whichever is the lesser amount.
ii) E-confirmation from Icicle, with PDF attachments including dossier, kit lists, shop discount voucher etc.

E-mail and the e-confirmation PDF attachments are our key method of contact. Please check your Junk / Spam folders if you haven't e-confirmation within 30 minutes of submitting a booking form online.

We cannot in any way be held liable for payment chasers or other communication problems caused by your personal settings for junk, spam or firewalls, or your inability to open PDF attachments.

Before you depart
Immediately after booking, you should obtain suitable activities insurance, with full cancellation cover
E-mail us a PDF of your insurance policy certificate, as soon as you've got it, so we have a copy on file

Ensure that all passports (& any visas necessary), and other documentation is in order before departure

We've upgraded our secure online payments system. From April 2022, all course payments will be handled by Sings, directly into our TTA tour operator trust account, secured until after your trip & your return home.

Require a travel visa?
As a UK company, we include the cost of supplying a visa invitation letter for all guests on trips where all foreign nationals require a visa, such as Mount Elbrus in the Russian Caucasus.

For all other trips where UK nationals do not need a travel visa, such as to the European Alps, if your nationality does require a visa to those countries, the following charges apply;

i) Person named as the lead / sole traveller on the booking form, and any participating family members living at the same address - a sole / joint visa invitation letter is provided for free.

ii) For all extra participants on a trip, other than the named lead address (sole or family), each extra participant referred to on the booking form is charged a £10 administration fee for their separate visa invitation letter(s), which is added to your invoice to pay securely online.

iii) A further £10 is added for any visa letter ammendment due to erroneous information being supplied.
